For founders who keep hearing
“the business can’t run without you”

Your business is built on people, not systems. And you’re just one of those people.

I move what you and your team know out of your heads and into your business, so one resignation never costs you your operations.

The real diagnosis

“Ask Jane” is not an operating system.

“That’s Jane’s thing.”

“Only Jon knows how that works.”

“Let me check with her when she’s back.”

Every business has these sentences. Yours probably has a dozen. Nobody plans it this way. Processes end up in people’s heads because everyone was busy doing the actual work, and writing things down felt like a someday problem.

Here’s the thing about someday problems. They collect interest.

The diagnosis you’ve been handed for this is called founder dependency. It’s wrong. The business was never depending on you specifically. It depends on whoever remembers how things work, and that means your people own how the business operates. You don’t.

You’re held hostage by whoever remembers how things work. And every month it stays this way, you pay for it somewhere.

One sick day becomes an operational event.

A cold shouldn’t be able to stall a company.

Every resignation is a data breach, except the data is your operations.

Everything only they knew leaves with them. Two weeks’ notice, if you’re lucky.

Hiring makes it worse.

Every new person absorbs someone else’s memory of how things work. More people, more versions, less agreement.

Nobody gets a real break. Including you.

The business can’t run without specific humans in specific seats, and everybody quietly knows it.

None of this shows up as a line item. It shows up as the vacation nobody takes and the small dread every time someone updates their LinkedIn.

Find out what it’s costing you.

I know, because I built exactly this. Then I lost it.

I ran an agency of 70+ people, and things were going really well. That was the problem. The success masked what was underneath: everything ran on memory, inside everyone’s heads. I didn’t realize it until it broke.

Then the pandemic hit. Team members started missing work. Health issues, lockdowns, limited resources. And every absence took knowledge with it, because none of it lived anywhere else. The agency collapsed. The office, the team, the routines, all of it gone within months.

Clients were unhappy, and rebuilding felt impossible, because there was no central system holding the processes together, and the people who knew them were gone. That’s when I saw exactly how I’d lost. The people scattered, and there was nothing underneath holding the shape, because I’d never built the underneath.

I learned it the hard way, and I rebuilt differently. Structure first, memory never. Now I install that difference into other founders’ businesses, so they get the lesson without losing everything to learn it.

about
me.

Hi, I’m Allie.

Think of me as the systems partner who finds what’s structurally missing in a growing business, then builds the operating foundation that lets it scale without breaking. I become part of your leadership team, help you architect how your business should operate, and work alongside your team to implement the systems that bring that architecture to life. The whole point is a business that can scale without becoming more complicated.

The systems I build don’t depend on me. Once they’re installed and your team is running them, the business holds whether I’m in the room or not. That’s what “done” looks like: not that I’m irreplaceable, but that I’m not required.

23 years in business operations. I built and directed a distributed agency of 70+ professionals, then spent eight years as a fractional OBM for founders and CEOs, the first Certified Online Business Manager in the Philippines through IAOBM.

How it works

The Structure Install.

I move your business off people’s memories and onto installed systems. Not a strategy deck you’ll skim once and archive. An actual working structure your team runs, documented where the work happens, trained until it sticks.

  1. 01

    Map.

I sit inside your operation and map how work actually gets done today, including all the parts that currently exist only in someone’s head. This step alone is usually an eye-opener.

  2. 02

    Design.

I architect how the business should operate across five domains: business model, customer experience, operations, systems, and growth infrastructure.

  3. 03

    Build.

SOPs, workflows, handoffs, documentation. Built with your team, inside the tools you already use, so it’s theirs from day one instead of some binder nobody opens.

  4. 04

    Train.

Your team learns the system, not just their task. New hires onboard from documentation instead of shadowing whoever’s least busy that week.

  5. 05

    Hand off.

I step back once the structure holds without me. What the business knows stays in the business, no matter who comes or goes. Including me. That’s the point.

The knowledge stays in the business. No matter who comes or goes.
Including me.

The offer

One engagement. A business that owns how it operates.

  • A Fractional Business Systems Architect inside your leadership team. That’s me, and yes I actually show up.

  • The full operating structure, designed, built, and installed across all five domains.

  • SOPs and documentation that live where the work happens, not in a folder called “Final_v3_USE THIS ONE”.

  • A trained team running the system, and an onboarding path that doesn’t depend on anyone’s memory.

  • Visibility. You can see how the business is running without having to ask a single person.

Proof

Two businesses, before and after.

Tap a card to read what changed.

The situation.

The team showed up, attended meetings, reported numbers. And you could feel it: nobody was really thinking anymore. Suggesting anything outside the standard felt like a job risk. Underneath, nothing was tracked. Tasks sat in the project tool unmissed and unupdated, and everyone worked from memory.

The breaking point.

One key team member couldn’t make a client meeting, and the manager walked in blind. No view of what was done, what was pending, or what had changed in the ad account. It all lived in the head of someone who wasn’t in the room.

What we installed.

Full immersion in two weeks. Then the structure: tracked workflows, clear ownership, one place where the state of the business actually lived.

The result.

Within two months, the business depended on its systems, not on the people running them. The team felt accomplished and could see their own value again. And the client got what he’d actually hired for: he could open the dashboard at 2am, when everyone else was gone for the day, and know exactly where everything stood.

The situation.

From the outside, everything looked set. Great branding, great aura, a landing page that converted. Inside: high attrition, a tired team, and a client who still felt like nothing was getting done. Everyone scattered, firefighting whatever was loudest. Sales had training. Operations had none. And every launch was handled differently, everyone doing what they personally knew and throwing the pieces together at the end.

The breaking point.

Constant turnover meant hiring and training never stopped, and every departure took operational knowledge with it. Each launch restarted from zero.

What we installed.

Departments, so the right people sat in the right seats: cross-trained, with clear priorities and standards. Workflows with clean handoffs and a real definition of done. No passing the ball. An LMS, so refreshers and new-hire training came from a system instead of a senior person’s time, theory first, then hands-on. And a repeatable launch process: duplicate the board, dates pre-set, tasks auto-assigned, every asset in one place.

The result.

What used to feel daunting became a quick, repeatable process the team just runs. The team is happy. The client is happy.

If you’ve read this far, something on this page hit close to home. Maybe a specific name came to mind at “Ask Jane.” Maybe there’s a process you know isn’t written down anywhere, and you’ve been meaning to deal with it since last year.

So before you close the tab and file this under someday, let’s talk about it. Someday problems collect interest.

We’re a good fit if...

  • You run a founder-led business doing roughly $20K to $100K+ a month.
  • Something has stalled or broken because one specific person wasn’t available.
  • You want the structure built and running, not described in a document.
  • You’ll show me how things actually work, including the messy parts.

We’re probably not a fit if...

  • You want a deck, a handshake, and a consultant who disappears.
  • You’re pre-revenue or still validating the offer.
  • You want to hire me to do the tasks. I’m not the new Jane.
  • You think documentation is busywork.

Sound like you?

If it’s not a fit, I’ll say so on the call.

The No-Guesswork Promise.

On our first call, I’ll tell you what’s actually going on in your business, including if I’m not the right person to fix it. No countdown timers, no pressure. And I don’t leave mid-install. The engagement ends when the structure holds, not when the retainer clears.

A business that depends on systems. Not on whoever shows up that day.

Picture it. The next resignation costs you a person, not a chunk of your operations. A new hire onboards from documentation. You take two actual weeks off and the business doesn’t notice.

That’s just what a business looks like after the structure is installed.

Every month it runs on memory instead, you’re one sick day away from finding out how fragile it is. I’d rather you find out from a conversation with me.

Before you reach out

Questions founders usually ask first.

How much of my time will this take?+

Real context from you early on, less as we go. As the structure gets installed, questions stop routing to people and start routing to systems. That includes the questions currently routing to you.

Do you replace my team or my tools?+

No, and no. I build around the people and tools you already have. The point isn’t new software. It’s that what your business knows stops depending on who’s in the room.

How long until we see something working?+

Mapping produces visibility within the first weeks. One client’s business was fully mapped in two and running on systems in two months. Every business is different, but this isn’t a “trust the process for a year” situation.

We’re not big. Is this overkill for our size?+

Smaller is honestly the best time to do this. Fewer heads to extract from, fewer habits to unwind, and the structure grows with you instead of being retrofitted later at ten times the pain.

What happens when the engagement ends?+

The structure stays. The documentation stays. The trained team stays. I make myself unnecessary on purpose, which my accountant thinks is a strange business model, but here we are.
